Xendoo is a solid national bookkeeping service. It's also priced by how much you spend, staffed by a team you won't meet, and built without Pennsylvania's local tax mess in mind. Here's the honest comparison, with their published numbers.

The Short Answer

Xendoo charges $395 a month for Essential, $695 for Growth, and $995 for Scale, with roughly 10% off for annual billing. Each tier caps how much you can spend per month. Transaction volume doesn't enter into it. Essential is cash basis only. Catch-up starts at $295 a month and fractional CFO at $1,500.

Most comparison pages exist to talk you out of the other option. This one isn't that. Xendoo does real work at a fair price, they publish what they charge, and for a lot of businesses they're the right answer. If you run on Xero, want weekly bookkeeping for under $400 a month, and want one company to both keep the books and file the return, go talk to them.

Where it stops working is narrower and more specific, and it's worth knowing before you sign up rather than nine months in. Xendoo prices by your monthly expenses, so growth moves you up a tier whether or not your books got harder. Their entry plan is cash basis only. And nobody at a national firm is going to catch a Pennsylvania Act 32 withholding error, because it never shows up in the states where most of their clients operate.

Their tiers cap your spending, not your complexity

Essential covers up to $50K in monthly expenses, Growth $75K, Scale $125K. A contractor with a big materials month can cross a tier without the bookkeeping getting any harder. Over $125K a month, or full accrual, and you're into a custom quote with no published price.

Essential is cash basis only

Accrual starts at Growth, and even there it's modified accrual. Full accrual is a custom plan with no published price. So if you carry inventory, retainage, or progress billing, skip past Essential and ask for a custom quote rather than assuming Growth covers you.

Xendoo files returns. We don't.

This is a real advantage for them and we're not going to pretend otherwise. Business tax starts at $1,245 a year on top of your plan. We hand tax-ready books to your CPA instead, so compare our fee plus your CPA's fee against their bundle, not against their plan alone.

PA local tax is the part nobody national gets right

Act 32 EIT, PSD codes, the higher-of rule, the $52 Local Services Tax, and sales tax on contractor materials are Pennsylvania-specific. We work in them every week. A national provider isn't wrong to skip them, they just aren't built for them.

What Xendoo actually costs for a real business

Take a Pittsburgh service business running about $60,000 a month in expenses, roughly $720,000 a year. It wants accrual books and somebody to file the 1120-S.

That business doesn't fit Xendoo's Essential plan, because Essential stops at $50,000 in monthly expenses and is cash basis besides. It lands on Growth. Billed annually that's $625 a month, or $7,500 for the year. Add business tax at $1,245 and the twelve-month number is $8,745. Billed monthly instead of annually, it's $695 a month plus tax, or $9,585.

One caveat on that number, and it matters. Growth gives you modified accrual. Full accrual is a custom plan with no published price. So if this business carries inventory or bills progressively, $8,745 is a floor, not a quote.

The same business on our Growth plan is $599 a month, $7,188 for the year. But we don't file the return, so add what a CPA charges for an 1120-S. In our own experience quoting alongside Pittsburgh CPAs that's generally $1,000 to $1,500 for a straightforward one, and that's our observation rather than a published survey figure. Call it $8,200 to $8,700 all in.

Those two numbers are close enough that price should not decide this. Within a few hundred dollars a year, you're choosing between a team that works weekly in Xero and files your return, and one person who works monthly in QuickBooks, knows your business, and knows Pennsylvania. Both are defensible. They're just different purchases.

The tier structure is the part people get surprised by

Pricing by monthly expenses is clean and easy to quote, which is why a lot of online firms do it. It also means your bookkeeping bill follows your cash out the door, not the hours anyone spent.

A contractor is the clearest example. Buy $80,000 of materials for a job in April and April's expenses blow past the Essential cap, even though the bookkeeping that month is a handful of invoices and one deposit. A retailer stocking up before the holidays hits the same wall in October.

Worth saying plainly: this isn't a trick, and Xendoo publishes the caps right on the pricing page. It just means you should price yourself on your heaviest month, not your average one. If your expenses swing, the tier you land on in a quiet month isn't the tier you will be paying for in a busy one.

Where Xendoo is genuinely the better pick

If you're on Xero, this is close to settled. They were Xero Partner of the Year for 2026 and they build around it. We run QuickBooks Online. Switching platforms to match your bookkeeper is a bad reason to switch platforms.

Weekly bookkeeping at $395 is a real price advantage, and we're not going to spin it. Our Essentials plan at $399 is monthly. If you want eyes on your books every week at the entry level, they do that and we don't.

A team also beats one person on coverage. Jordan takes vacations. Xendoo has staff behind the person assigned to you. If a single point of failure keeps you up at night, that's a legitimate reason to go national, and it's the honest weakness of every solo practice including this one.

And if you want one company to keep the books and file the return, they do both. We deliberately don't file returns, which means you're hiring two firms instead of one.

Where a local bookkeeper is worth more than the difference

Pennsylvania has a local tax layer that most states don't. Every employee has a six-digit PSD code and a Total Resident EIT Rate. Employers withhold at the higher of the employee's resident rate or the worksite nonresident rate. There's a separate Local Services Tax, usually $52 a year, with its own exemption rules. Contractors owe use tax on materials installed in a county with a higher rate than where they bought them.

None of that shows up in Texas or Florida, where a lot of national clients are. So a national bookkeeper isn't being careless by missing it. They're just working from a playbook written for a different map.

The most common thing we find in a new client's payroll file is 1% withheld for everybody. In Allegheny and Butler County that's right most of the time, which is exactly what makes it survive review for years. Put a Mount Oliver employee on 1% and you're 2% short on their wages for the whole year.

The other thing that doesn't scale nationally is knowing the business. When your margin moves three points, the useful question is whether you changed suppliers or whether somebody isn't billing for change orders. That question comes from remembering last quarter, not from reading this month's report.

How to decide without overthinking it

Go with Xendoo if you run Xero, want weekly books at the lowest possible entry price, want the tax return handled by the same firm, or want a team rather than a person.

Go local if you have PA payroll, if your expenses swing enough that expense-based tiers would bounce you around, if you need real accrual without buying a custom plan, or if you want the person doing the work to know what your business actually does.

Either way, price your heaviest month rather than your average one, and ask both providers what happens when you cross a tier. That one question tells you more about a bookkeeping relationship than the headline price does.

No. Xendoo's terms state that subscriptions can be monthly or annual and that there are no annual contracts. Annual billing is an optional discount of about 10%, not a lock-in. That compares well against some competitors in this category whose annual plans auto-renew and are non-refundable after a short window.

Their catch-up bookkeeping page says catch-up starts at $295 a month, while their terms and conditions page says $395 a month. Both were live on September 20, 2026. We're not going to guess which one governs, so ask them to confirm in writing which figure applies to your scope before you start.

It can be, with one caution. Xendoo prices by monthly expenses, and construction expenses swing hard with material purchases. An $80,000 materials month pushes you past the $50,000 Essential cap even though the bookkeeping itself didn't get harder. Separately, retainage and progress billing generally need accrual. Growth gives you modified accrual and full accrual is a custom plan, so Essential is rarely the right plan for a contractor regardless of spend.

It's not something they market, and that's reasonable. Pennsylvania's Act 32 system, PSD codes, Total Resident EIT Rates, the higher-of withholding rule, and the Local Services Tax are specific to Pennsylvania and don't apply in most of the states a national provider serves. If you have PA employees, ask any national bookkeeper directly how they handle Act 32 withholding before you sign, and listen for whether the answer is specific.
