Onboarding Is a Separate $1,000 Project

Their pricing page lists Onboarding & Prior Bookkeeping starting at $1,000 per project, described as being for new clients who want clean books before monthly service begins. That's a real year-one cost most comparisons forget. We don't charge a setup fee.

Payroll, Sales Tax, and Tax Are All Priced Separately

Payroll administration starts at $200 a month through Gusto, sales tax at $125 a month, back-office at $150 a month. Business tax returns are a separate plan starting at $1,000 a year. Add the ones you need before you compare any monthly number to ours.

A Dedicated Team, Not a Dedicated Person

Their Monthly and Weekly plans both list a dedicated accounting team, and their bookkeeping FAQ says you're assigned a dedicated accountant in the United States. That's more bench depth than one person can offer. It's also a different relationship than texting the same bookkeeper every month.

Read the Subscription Agreement Before You Prepay

They offer month-to-month and annual plans. On the annual path their subscription agreement says terms auto-renew unless you give written notice within 30 days of expiration, retainers are non-refundable, and a member who leaves is not entitled to any refund including prepayments. Know which path you're signing.

Xero or QuickBooks, and Whose Subscription

They work in both Xero and QuickBooks Online, which is a real advantage if you're a Xero shop. Their pricing page lists platform setup under the onboarding project but never says the software subscription itself is included, so ask who pays for it and whose login owns the file.

What Does Bookkeeper360 Cost in 2026?

Their pricing page splits into three tabs, and every single number on it is labeled "starting at." That's worth saying twice, because it changes how you read the whole page.

Bookkeeping has three items. Onboarding & Prior Bookkeeping starts at $1,000 per project and covers a dedicated onboarding advisor, chart of accounts creation or restructure, platform setup in Xero or QuickBooks Online, cleanup of prior bookkeeping, and app integrations like A2X, Shopify, Stripe, Bill.com, Gusto, and Ramp. Monthly starts at $399 a month for a dedicated accounting team, cash or accrual books, a monthly profit and loss and balance sheet, trend and variance insights, US-based support, and their software. Weekly starts at $599 a month and adds weekly reports. Weekly is the plan they mark most popular.

Tax is priced by the year and sold separately from bookkeeping. Business Tax starts at $1,000 a year for federal and state returns, annual franchise tax, and compliance support. Business & Personal Tax starts at $1,500 and adds individual returns and planning guidance. Planning & Strategy starts at $1,200 a year for what they describe as a customized year-end tax strategy to reduce your tax liability.

Fractional CFO starts at $2,000 a month. A 12-Month Budget is $2,000 per project and a 3-Year Forecast is $10,000 per project. One thing to flag: their separate CFO Advisory service page answers the cost question with "Pricing starts at $700 per month." Both pages were live on the same day. We're not going to guess which one your quote follows, so ask them directly.

Then there's a strip of additional services below the tabs, each with its own floor: payroll administration from $200 a month through Gusto, sales tax from $125 a month, back-office AR and AP from $150 a month, and individual tax returns from $500.

What Do the Published Prices Leave Out?

The accounting software subscription is the big one. Their pricing page lists platform setup inside the $1,000 onboarding project and shows QuickBooks, Xero, and Gusto logos under a "We work with" heading. What it never says is whether the Xero or QuickBooks Online subscription itself is included in your monthly fee. QuickBooks Online Plus lists at $140 a month on quickbooks.intuit.com as of September 14, 2026, so that's up to $1,680 a year riding on the answer. Ask.

Gusto is the same question one layer down. Payroll administration from $200 a month is their fee for running payroll. Gusto's own subscription is a separate bill from Gusto, and it isn't priced anywhere on bookkeeper360.com.

And the transaction-volume question never appears on the page at all. There's no published tier, no transaction count, no revenue band. Their bookkeeping FAQ says the flat monthly fee depends on what you're asking the team to assist with, which is a fair and honest answer, but it means the $399 is a starting point for a simple file, not a quote for yours.

On the trust side, they're a real firm with real infrastructure. The legal entity is Plum Logic, LLC doing business as Bookkeeper360.com, their site footer carries a 2012 copyright, their pricing page displays a 4.8 out of 5 Google rating across 200-plus reviews, and their own newsroom posts recognition from NerdWallet and Forbes. Their subscription agreement also states plainly that Bookkeeper360 is not a certified public accounting firm and is not an AICPA member. Tax preparation doesn't require a CPA license, so that isn't a contradiction, but if you want a CPA signing your return, ask who will.

What Does Bookkeeper360 Actually Do Well?

Here's where they beat us, stated plainly.

Xero. We're QuickBooks Online only. If your books are in Xero and you don't want to convert, Bookkeeper360 is one of the few national firms that treats Xero as a first-class platform rather than a grudging exception. That alone can end the comparison, and it should.

Accrual books done properly. Accrual reporting is a headline feature on their bookkeeping page, and they name the hard parts out loud: deferred revenue, accrued expenses, inventory. Under the accrual method you report income when you earn it and deduct expenses when you incur them, not when the cash moves (IRS Publication 538, Accounting Periods and Methods, irs.gov/publications/p538). That's the difference between a P&L that reflects your month and one that reflects your bank feed. For an inventory business or a subscription business, that distinction is the whole point, and they build for it.

Their $599 Weekly plan is a real product, not an upsell label. If you're managing tight cash and want numbers every week instead of every month, we don't offer that and they do.

The software is the other thing we can't match. Their app includes Bolt, an AI virtual CFO with live KPI dashboards, cash runway, payroll analytics synced from Gusto, and alerts when something moves. They sell it standalone at $19 a month after a three-month trial, and it's bundled into every plan. We hand you clean QuickBooks reports and a conversation. Some owners want the dashboard, and that's a fair thing to want.

You can also buy more from them than you can from us. Bookkeeping, payroll, sales tax, business and personal tax, and fractional CFO are all on the price list, and they offer R&D tax credit work too, though that one isn't priced on the page. If you'd rather manage one relationship than three, that's worth something real.

And a team means somebody covers when a person is out. We're one person. That's a real gap on our side and no amount of framing closes it.

What Do Bookkeeper360 Reviews Actually Say?

If you're searching "bookkeeper360 reviews," here's what we found looking on September 14, 2026. We read the 2026 write-ups on comparison and review sites and the public complaint threads. We deliberately didn't total up star ratings. Those numbers shift week to week across Trustpilot, Google, G2, and the Xero App Store, and anything we printed here would be stale by the time you read it.

The praise is consistent about two things. The service range, meaning you can start with bookkeeping and add payroll, tax, or CFO help without changing firms. And the platform flexibility, meaning QuickBooks and Xero both work and you can step up from monthly to weekly reporting. Their own displayed Google rating is strong, and their newsroom posts favorable write-ups from NerdWallet and Forbes.

The complaints cluster in three places. Response times, where owners describe chasing their bookkeeper for updates or filings. Billing and scope, where the final cost landed above what the owner thought was quoted, which tracks with a pricing page built entirely on "starting at" figures. And unwinding the relationship, where cancellation took more effort than expected.

None of that makes them a bad firm. It makes them a firm with a lot of clients, where your experience is set by the team you draw and by how tightly the scope got written down before you started. That risk is real, and it's the price of the bench depth we said was an advantage two sections ago. Our version of the risk runs the other way: one person, no bench, and if you don't like working with Jordan there's nobody else to switch to. Pick which trade you'd rather make.

What Does a Year Cost for a Pittsburgh E-Commerce Business? (Worked Example)

Take an e-commerce brand in Lawrenceville doing about $900,000 a year. They sell on Shopify and Amazon, take payments through Stripe and PayPal, hold inventory, collect PA sales tax plus a handful of other states, and have two employees on payroll. They need accrual books because of the inventory. This is squarely Bookkeeper360's target customer, which is exactly why it's a fair test.

Bookkeeper360, year one, at published starting prices:

Firm fees, year one: $10,688. Not included in that number: the Xero or QuickBooks Online subscription, Gusto's own payroll fee, their $150-a-month back-office add-on if you want AP and AR handled, and whatever the quote actually comes in at above these floors for a business with inventory and multi-state sales tax.

Peacock, year one:

Bookkeeping, Growth plan: $599 x 12 = $7,188. We'd put this business on Growth rather than Essentials because of the inventory, the multiple sales channels, and the AR and AP tracking, and we'd rather tell you that now than quote you $399 and revise it in month two.

Payroll add-on: $99 x 12 = $1,188

Setup fee: none.

QuickBooks Online Plus in your own name, that being the tier that carries inventory tracking and classes: $140 x 12 = $1,680. That is the list price on quickbooks.intuit.com as of September 14, 2026.

Year-one total: $10,056, of which $8,376 is our fees and $1,680 is software you own outright. If your books aren't current when we start, catch-up is a flat quote after a free look, starting at $400.

Are Those Two Totals Comparable?

Not straight across, no. Two things our column doesn't carry, and you should know both before you line the numbers up. There's no tax return line, because we don't file returns. We keep the books tax-ready and hand them to your CPA, and that return is a separate bill. And there's no separate sales tax line, because we track and record sales tax inside the monthly fee and coordinate the filing with you. Their $125 a month buys something different and broader: they do the filings themselves, plus state registrations and nexus studies. For a seller collecting in six states, that's a real service and it belongs in their column at full price.

And in fairness, ask us the mirror of the Gusto question. Our $99 covers the payroll work, and payroll runs through QuickBooks, so confirm with us how the QuickBooks Payroll subscription itself is handled on your setup before you treat our number as all-in. We'd rather you ask than assume.

So don't read $10,688 against $10,056 as a like-for-like result. Their number includes a filed tax return and excludes the accounting subscription and Gusto's own bill. Ours includes the subscription and excludes the return. The section below strips both columns down to the same scope.

So Which One Costs Less Over a Year?

It depends on how many pieces you need, and that isn't a dodge. It's the actual answer, because they itemize and we bundle.

Match the scope properly. Take the tax return out of their column, since we don't file returns. Then add the piece the face-value numbers hid: this business needs AP and AR tracking, which sits inside our $599 Growth plan and is a separate $150-a-month back-office add-on on their side. Their matched stack is $4,788 bookkeeping, $1,800 back-office, $2,400 payroll, and $1,500 sales tax, which is $10,488 a year, plus $1,000 of onboarding in year one. Ours is $7,188 plus $1,188, or $8,376, flat in both years.

That's $11,488 against $8,376 in year one, and $10,488 against $8,376 after that. Before you bank it, read the asymmetry. Their $1,500 of sales tax work buys filings, state registrations, and nexus studies that we don't perform, and for a seller collecting in six states that work is real and somebody has to do it. Back sales tax out of both columns and year two is $8,988 against $8,376, a gap of $612, with the filings still unsolved on our side.

So here's the honest summary. On a simple file that needs books and payroll and nothing else, they're competitive and their $399 may well beat our $599. The more pieces you bolt on, the further the two models drift apart, because every add-on has its own meter on their page and most of them don't on ours. Underneath all of it sits the software question: if their fee includes your Xero or QuickBooks subscription, take up to $1,680 a year off their column. If it doesn't, both matched-scope columns need the same $1,680 added and the gap doesn't move, because neither of these figures carries it.

The other number that never makes it onto either column is what a bad month costs you. A missed sales tax filing, a payroll tax notice, a 1099 that goes out wrong. Those are the line items that turn a few hundred dollars of annual difference into noise, and they're decided by who's actually looking at your file, not by the plan name.

Who Should Pick Bookkeeper360, and Who Should Pick a Local Bookkeeper?

Pick Bookkeeper360 if you're on Xero and staying there. That's the clearest call on this page. Same answer if you want weekly closes, or if a KPI dashboard with cash runway alerts is worth more to you than a phone call, or if you'd rather buy bookkeeping, tax, and fractional CFO from one firm with published starting prices.

And genuinely pick them if you're selling across channels at volume. Amazon settlement reconciliation, A2X in the stack, COGS split across Shopify and wholesale, deferred revenue on subscriptions, and nexus studies for the states you've tripped into are all things they've built a service around and priced on the page. We do multi-channel books too, but we don't run nexus studies, and on that specific piece they're ahead of us.

Pick a local bookkeeper if the work that eats your month is physical rather than digital. Job costing on a build, retainage held back for ninety days, materials taxed differently from labor, subs who need 1099s, a workers' comp audit that wants payroll records that tie out. Contractors and trades live there, and a national pricing page has no row for any of it.

Same answer if the money arrives on somebody else's schedule. Medical, dental, veterinary, and therapy offices wait weeks on insurance reimbursements, issue patient refunds, carry equipment loans, and run a payroll that's the largest line on the statement. Reconciling what was billed against what actually landed is a monthly judgment call, not a rule you can hand to a workflow.

Five questions, and they take one email. Get the answers in writing before you compare any number to ours.

First, what's my actual monthly quote above the $399 floor, and what does it include at my transaction volume? Second, is the Xero or QuickBooks Online subscription included in that fee, or billed to me separately? Third, am I on the month-to-month plan or the annual plan, and if it's annual, what's the renewal date and the notice deadline?

Fourth, whose login owns the accounting file, and what exactly do I get if I leave? Their subscription agreement says you retain exclusive ownership of your data, which is a genuinely good term and better than some competitors offer. The practical follow-up is still whether you hold the platform login or they do.

Fifth, on the annual path, what happens if I cancel mid-term? Their subscription agreement is specific here, and it's worth reading before you sign. Terms auto-renew unless you send written notice within 30 days of expiration. Retainers are non-refundable and deemed fully earned at the end of a one-year term, no matter how much service you used. A member who leaves is not entitled to any refund, including prepayments. And depending on your engagement letter, an early termination fee of 15% of the agreement's value may apply. Their month-to-month option avoids most of that. Just know which one you're on.

How Does Switching From Bookkeeper360 Work?

Two things happen before anything else: a free call where we look at what you actually have, and a written request to them for your data while you're still a paying client. Ask for the general ledger, the trial balance, bank reconciliation reports, and the chart of accounts, plus whatever documents you've uploaded to their file manager over the years. Their agreement says you own your data. Getting it in hand is still easier before the notice goes in than after.

Then check the calendar, because on an annual term the notice window is 30 days around the expiration date and missing it rolls you into another year at the same price. If you're on their month-to-month plan instead, none of that applies and you can move whenever you're ready.

Plan for a real handoff on either end. Their own bookkeeping FAQ says getting started with them typically takes one to two weeks, and ours runs about the same, so a switch is a couple of weeks of overlap rather than a clean break on the first of the month. Budget for that and it's uneventful. Assume it's instant and it isn't.

If your books already sit in a QuickBooks Online account under your own login, we join as your accountant user and start from the last month that reconciles. If they live in Xero, we set up a QuickBooks Online account in your name and bring the history over. That conversion is real work and we quote it honestly rather than waving it off, because a Xero to QuickBooks move with inventory is not a one-afternoon job.
