Bookkeeping Cleanup Services vs Catch-Up: Which to Hire
Cleanup fixes books done wrong. Catch-up fills in months never done. Which one your business needs, what each costs in 2026, and how long it takes.
The Short Answer
Bookkeeping cleanup services fix books that were done but done wrong. Catch-up bookkeeping fills in months that were never done at all. If your QuickBooks file has transactions in it but the numbers don't match the bank, you're buying cleanup. If the file just stops in March, you're buying catch-up. Most owner-run companies that fall behind need some of both, and a good bookkeeper quotes it as one project. Published pricing we found runs $75 to $320 per month of history depending on who you hire. Our flat fees start at $400 for catch-up and $500 for cleanup.
Cleanup vs Catch-Up: What You're Actually Paying For
Cleanup is repair work. Somebody was doing the books. Maybe you, maybe an office manager, maybe a nephew who "knows QuickBooks." Transactions got entered. The numbers are just wrong. Expenses in the wrong accounts, duplicates from a bank feed connected twice, owner draws sitting on the P&L, accounts categorized every month but never reconciled to a statement. That last one's where a lot of owners get let down by the person they paid. Categorizing isn't reconciling. Books can look finished for two years and still be off by thousands.
Bookkeeping catch up is missing work. The records exist (bank statements, card statements, payroll reports) but nobody entered them. A bookkeeper quit, or a big year got busy and the books just... stopped.

Which One Does Your Business Need?
You don't have to diagnose this yourself. It's the first thing we do in a free review. But if you want to walk into the call knowing what you're buying, these five questions get you most of the way. A yes to any of them is a problem.
- Does the register just stop on a date, or are hundreds of bank transactions sitting in "For review"? That's catch-up. (If your bank feed disconnected, "For review" can look empty even when nothing's been entered, so check the last date in the register too.)
- Are there months that were entered but never reconciled? The reconcile screen shows the last statement date for each account. Entered but unreconciled is cleanup.
- Is anything sitting in Uncategorized Income, Uncategorized Expense, or Ask My Accountant? Cleanup.
- Does Opening Balance Equity have a balance? Once a file is set up it should usually sit at zero. A number there tends to mean something was forced to balance. Cleanup.
- Is your loan balance different from the lender's statement? Usually the whole payment got booked as an expense, so the loan never goes down on paper. Cleanup.
Yes on the first and yes on any of the others? You need both. That's the most common case we see, because books that fell behind usually had problems before they stopped. When a file needs both, we quote one flat project so you're not paying twice to look at the same transaction.
What Bookkeeping Cleanup Services and Catch-Up Cost
Quotes come in three shapes, and the shape matters more than the headline. Here's what we found on providers' own pages on September 27, 2026:
- Per month of history. SDO CPA lists catch-up at $320 per month of history behind, or $299 when the books are clean enough to work from (their pricing page). Twelve months behind is $3,588 to $3,840. Maxim Liberty (bookkeeping-services.com) charges $75 per month of books for catch-up or cleanup, covering up to 5 hours, then $15 an hour past that.
- Quote only. Bench doesn't publish a catch-up price. Their page says they quote historical work upfront and offer payment plans of up to 12 months, interest free.
- Flat fee by tier. That's us. One number after a free review. Our 4 to 12 month catch-up tier is $1,500 to $4,500, and if the file's worse than we thought, that's on us, not a change order.
Why per-month quotes grow
Here's the catch with per-month pricing: a "month" isn't a fixed amount of work. Picture a $1.5M contractor with three bank accounts, two credit cards, and a line of credit. Twelve months behind is 72 reconciliations, not 12, plus payroll and job costing. Five hours a month covers a consultant with one checking account. It doesn't cover that contractor, and overage hours are where per-month quotes grow.
Cleanup usually runs cheaper than catch-up for the same stretch because the transactions are already in there. The hard part is judgment on a few hundred bad entries, not typing in thousands. (The exception is 1 to 3 months, where our cleanup floor is $500 against $400 for catch-up.) Full tiers are on our QuickBooks cleanup services page.
Before you sign with anyone, ask four things. How many accounts and transactions does the price assume? What happens if the file's worse than expected? Does the price include reconciling every account to zero, or just categorizing? And what does monthly service cost after, so you don't end up here again? How Long Catch-Up Bookkeeping Services Take
From our published timelines: 1 to 3 months behind takes 1 to 2 weeks. A full year is 3 to 6 weeks for catch-up, 3 to 4 for cleanup. Two years behind is 6 to 10 weeks, and past that plan on 10 to 16. The slowdowns are almost never the bookkeeping. They're a closed bank account that takes weeks to send old statements.
And timing matters this time of year. If your CPA filed an extension on your personal return, it's due October 15, and from late September only a light file will be ready in time. The next wall is W-2s and 1099-NECs, due February 1 in 2027 since January 31 lands on a Sunday. After that, CPA calendars fill up fast. Hand your CPA unreconciled books in March and you'll usually pay more for their time or end up on extension. So a 4 to 12 month project really wants to start by early December.
In Pennsylvania there's more to tie out. If you collect PA sales tax, every return you filed during the messy months has to match the books. If you have employees, the local earned income tax you withheld has to match what you remitted. Bookkeeping Cleanup Checklist: What to Have Ready for a Quote
You don't need to organize any of this, just know where it is. Handing us a mess is kind of the point.
- Access to your accounting file. QuickBooks, Xero, a spreadsheet. Invite us as a user, never share your password.
- Bank and credit card statements for every business account for the whole period, including closed accounts.
- Loan and line of credit statements showing principal and interest.
- Payroll reports. Quarterly 941s, W-2s, and the payroll register. Gusto and ADP export all of it.
- Payout reports from Stripe, Square, or your practice management or property management software, since bank deposits land net of fees.
- Sales tax and local tax filings you made during the period.
- 1099s you sent and W-9s for contractors you paid.
- Your last filed tax return and depreciation schedule, so the cleaned-up books start from balances that tie to something real.
How far back? To the last period that ties to a filed return. And before you shred anything, the IRS recordkeeping guidance says keep records 3 years in the general case, employment tax records at least 4, and indefinitely for any year you didn't file a return.
